Payforce: one office system instead of five task-specific ones.

An HR and payroll management platform built with React, Django and DigitalOcean, for an operation that had accumulated a separate tool for every people process. Most HR software is task-specific, which leaves offices running several systems that each hold part of the truth about an employee. This one puts records, scheduling and payroll on a single employee model.

The problem

The challenge.

  • Different people processes had been solved by different tools, so an employee existed several times over with no agreement on which record was authoritative.
  • Because each system held a fragment, routine questions — who is working, what are they owed, what changed last month — required assembling an answer by hand.
  • Payroll depends on data that other processes produce, so every gap between systems became a manual reconciliation step with a deadline attached.
  • HR data is among the most sensitive a business holds, so consolidating it raised the stakes on access control rather than lowering them.
The plan

Our approach.

  • Modelled the employee once in Django and made every other concern — scheduling, records, payroll inputs — reference that single entity rather than maintaining a parallel copy.
  • Built the interface in React around the tasks an administrator actually performs in sequence, rather than mirroring the structure of the systems being replaced.
  • Made payroll consume scheduling and records data directly, removing the re-keying step that existed only because the systems could not talk to each other.
  • Designed role-based access from the start, so consolidation narrowed who could see sensitive data rather than widening it — the risk that makes people avoid consolidating in the first place.
  • Deployed on DigitalOcean with a deliberately simple operational footprint, matching a system that must be dependable and predictable rather than elastic.

  • An employee is represented once, so the record is authoritative rather than one of several.
  • Payroll draws directly from scheduling and records instead of being re-keyed from them.
  • Routine questions are answered from the system rather than assembled across tools.
  • Access to sensitive data is narrower after consolidation than it was across the separate systems.
